Care-team Scheduling That Doesn't Drop Shifts

It's 5:45 AM. The night-shift nurse hasn't logged out, and the morning carer hasn't checked in. You don't know if there's a handover problem or someone's running late, and the patient bell is ringing. You make three calls before you find out who's where.

Then there's the rota itself: certifications to match, weekend rotation to balance, on-call to track, and someone always asks for a swap forty-eight hours before it happens.

The Real Problems

Uncovered shifts surface during the shift

A carer doesn't show. You find out from a colleague mid-handover, not before. Now you're calling whoever's on standby, asking someone to stay late, and apologising to the family at 7 AM.

Certifications get tracked in someone's head

Only Marie has the level-2 cert for the night shift. Pierre's medication training expired in March. You know all this because you made the rota. The new manager covering for you next week doesn't, and that's how a wrong assignment slips through.

Swap requests come in everywhere

Texts, WhatsApp, voicemails, the message left at reception. By Friday afternoon you have eight informal requests and you can't remember which two you said yes to. Then someone shows up for a shift they swapped out of, and you've got two carers and no coverage tomorrow.

Audit trails are a year-end project

Inspector visit, payroll dispute, complaint review. You need to show who worked when, who confirmed what, who approved which swap. It's all in your phone and three notebooks.

What Actually Fixes This

Carers confirm their shifts before they happen

Publish the rota with a confirmation deadline. Carers confirm or decline from the app. By the day before, you see who's coming and who isn't. Twelve hours to find cover instead of twelve minutes.

Tag shifts by required certification

Mark a shift as needing 'level-2 cert' or 'medication-trained'. The rota builder only shows people who have that tag when you assign. The new manager covering for you can't accidentally schedule someone unqualified.

Swaps live in one place

Carers propose swaps in the app. You approve with one tap. Both shifts update and re-trigger confirmation. No texts to forget, no double-coverage, no missed handovers.

Every change is logged

Who built the rota, who confirmed, who swapped, who clocked in late — all timestamped. Year-end audit becomes a CSV export, not three notebooks.

Multi-site for groups of homes or clinics

Two care homes, one dashboard. Move staff between sites when one's short. Per-site reporting for finance. Cross-site cover with full audit trail.

When It Actually Helps

The day before a weekend

You check the dashboard. Two Saturday shifts haven't confirmed. You message both. One confirms, one says they need to swap — propose it in the app, the cover accepts, done. You sleep on Friday night.

Building the next four-week roster

Pull up the last cycle. Carry it forward. Adjust for the new joiner, the leaver, and Marie's reduced hours after her surgery. Publish in an evening, not a weekend.

An inspector asks for last quarter's records

Filter by date range, export. Every confirmation, every swap, every clock-in/out, every late note — already there. No archaeology.

A family disputes hours for an in-home visit

The carer clocked in and out from their phone, GPS-stamped to the address. The record is the record. Disputes resolve in minutes, not days.

How It Works

  1. You add carers once. They download the free app on iOS or Android.
  2. You build the rota by week or by four-week cycle. Tag shifts by certification, location, or role. The builder warns you about overtime, missing certs, or back-to-back shifts before you publish.
  3. Carers see their shifts and confirm before your deadline.
  4. Swaps and time-off requests come in through the app — you approve from a list, not a text thread.
  5. They clock in/out from their phone. The record is timestamped and signed.
  6. End of pay period, you export hours, supplements, and overtime to your payroll provider.

Same flow, every cycle, every site.

Common Questions

Is this clinical scheduling for hospitals?
No. We're built for smaller care teams — care homes, in-home care services, small clinics, day centres. If you're scheduling 5–100 carers across one to a handful of sites, this fits. Acute hospitals usually have specialised tools and aren't our target.
Can we restrict who can schedule what?
Yes. Tag shifts by required certification or training. The rota builder filters who's eligible when you assign. You can also restrict managers to their own site or team.
What about night shifts and on-call?
Both supported. Night shifts get their own rate, on-call shifts can be tagged separately, and overtime tracking respects the contract type per employee.
How does this handle GDPR?
EU-hosted infrastructure, data processed only for the scheduling service, audit trail of every change, and personal data export or deletion on request. We sign DPAs.
Can carers update their availability themselves?
Yes — from the app. They mark unavailable days, you see them on the rota builder before you assign anything. Cuts the back-and-forth before each cycle.

Try it on your team

90-day free trial. No credit card. Add your carers, build a four-week cycle, see if it cuts the Friday-afternoon firefight. You only pay for staff you actually schedule each month — relief or bank staff cost nothing in unused months.

If it doesn't save you time in the first cycle, don't use it.
